# How do I add delivery to my quotes?

## Choose how you charge delivery, connect the item and variable, then check the result on a test quote.

Short answer: **use a delivery item and a public variable to work out the delivery charge on each quote.** Your salesperson selects an area or enters the distance or number of drops. The linked calculation works out the delivery line.

Check for an existing delivery item, variable and calculation before adding another. If your plan or access does not allow new items, calculations or variables, ask your company admin or ShedMate support to help with the setup.

### Pick how you charge delivery

| You charge | The salesperson | How the charge is worked out |
| --- | --- | --- |
| A fee for each area | Picks an area from a list | The selected option supplies the fee for that area |
| A rate for each kilometre | Enters the distance in kilometres | Distance multiplied by your delivery rate per kilometre |
| A fee for each delivery | Enters the number of drops | Number of drops multiplied by your fee per drop |

Use your own fees and rates. If an area option already holds the full fee, do not multiply it by a delivery rate again. Check whether an existing delivery calculation already charges for the same service before adding another.

### Set up the item and variable

| | Step |
| --- | --- |
| 1 | Open a test job and go to **Instant Quoting**, then **Pricing Database**. Search for an existing delivery item. The example below is in **Logistics**, with the unit **km** |
| 2 | Reuse the right item, or choose **New Item** if you need one. Give it a clear name, category, unit and your own price. Match the unit to what you charge, such as kilometres or drops |
| 3 | Open **Variables** and search for an existing delivery variable before creating another |
| 4 | For a new variable, click **New Variable** (1). Enter a **Variable Name**, choose the **Result Type** and decide whether to **Restrict Options?**. A distance or drop count uses **Number**. Click **Create** when the definition is ready |
| 5 | On the variable row, set **Public** to **Yes** so salespeople can change it on a quote. The **Public Variables (Incl. in Point of Sales)** view (2) helps you find these variables |
| 6 | For an area list, use **Restrict Options?** = **Yes** when defining the variable. Open **Edit Options**, then **New Option** to add your area names and numeric fees. Include a no-delivery option with a value of zero. Set a starting value that matches one of your options |

### Link the delivery calculation

Open **Pricing Calculations** and look for the delivery calculation. Reuse it where appropriate, or choose **New Calculation** for a new charge.

Link the calculation to your delivery item and use the delivery variable to work out the charge. For a per-kilometre item, the distance variable supplies the **Quantity**. An area-fee variable already contains an amount, so its calculation needs to use that amount correctly rather than treating it as kilometres or drops.

Check the calculation's group, GST and markup. If you are unsure how to connect an area fee to your item, ask support to check it before using it on customer quotes.

### Test it, then save it

1. On a test quote, check each area option or several distances/drop counts. Work out the expected delivery amount yourself and compare it with the delivery line.
2. Check the no-delivery or zero case, then check GST, markup and the final customer document. Make sure delivery appears once for the service you intend to charge.
3. **Save Quoting** saves the project's quoting work. When the reusable database setup is ready, choose **More**, then **Save Database**. Check which database and version you are saving before continuing.

Existing quotes keep their database version until you load a newer one. See *My quote still shows my old prices. How do I update it?*

### Watch the delivery setup video

The original delivery-fee video is retained above. You can also [open it in Loom](https://www.loom.com/share/229378a5645f4b06ac1fcbd0ef49835f). It shows delivery-area and distance examples; some screen labels differ from the current instructions above. The example prices are for demonstration, so use your own approved rates.
