# How do I add site hire, such as a crane or generator, to a quote?

Short answer: **add a hire item priced per day, a number your salesperson fills in on each quote, and a calculation that multiplies the two.** The same setup works for a crane, a generator, a scissor lift or any other hire you charge by the day.

**Add a hire charge**

1. **Pricing Database**: add the hire item with the unit **d** and your daily rate
2. **Variables**: add a **Number** variable and set **Public** to **Yes**
3. **Pricing Calculations**: link a calculation to the item with a **Specify** rule that uses the variable
4. Put the calculation in a group with GST, save, then test it on a quote

Check your database for an existing hire item or variable before adding another. If your plan or access doesn't allow new items, calculations or variables, ask your company admin or ShedMate support to help with the setup.

### 1. Add the hire item

| | Step |
| --- | --- |
| 1 | Open a test job and go to **Instant Quoting**, then **Pricing Database**. Click **New Item** |
| 2 | Enter an **Item Name**, such as Crane Hire - Per Day, and your **ERP** code if you use one |
| 3 | Click **Pick Item Category** and choose **Site** (1), the category for equipment hire |
| 4 | Click **Pick an unit**, type d in **Search** and choose **d** (2), for days. Use **h** for hire charged by the hour |
| 5 | Enter your daily rate in **Price** (3), then click **Done** (4) |

![New Item window filled in for the example: Item Name Crane Hire - Per Day, ERP CRANE-DAY, category Site marked 1, unit d marked 2, Price 1000 marked 3 and Done marked 4. The rate is an example](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__01-new-item__marked.png)

There's no week unit. For hire charged by the week, use **un** and put per week in the item's name.

### 2. Add the number your salesperson fills in

| | Step |
| --- | --- |
| 1 | Click the **Variables** tab, then **New Variable** |
| 2 | Enter a **Variable Name** (1), such as Crane Hire - Days. Leave **Is formula variable?** on **No** |
| 3 | Set **Result Type** to **Number** (2) and **Restrict Options?** to **No**, then click **Create** (3) |

![New Variable window: Variable Name Crane Hire - Days marked 1, Is formula variable? No, Result Type Number marked 2, Restrict Options? No, and Create marked 3](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__02-new-variable__marked.png)

Type the variable's name in **Find Variable**. On its row, set **Public** to **Yes** (1) so salespeople can change it on a quote. The **Public Variables (Incl. in Point of Sales)** view (2) lists your public variables.

![Variables list filtered to Crane Hire - Days, with Public set to Yes marked 1 and the Public Variables (Incl. in Point of Sales) view marked 2](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__03-public-yes__marked.png)

Leave its **Value** empty or at 0, so no hire is charged until someone enters a number of days.

### 3. Link a calculation that multiplies the two

| | Step |
| --- | --- |
| 1 | Click **Pricing Calculations** at the top, then **New Calculation** |
| 2 | Click **Existing price**. Find your hire item, tick it and click **Okay** |
| 3 | When asked, click **Open Edit Menu**. Check that **Unit** shows **d** (1) |
| 4 | Click **Add Rule**. Click **Sum of:** (1) and choose **Specify** (2) |
| 5 | Click the button at the right of the **Quantity** box. Type your variable's name in **Find Variable** (1), tick it (2) and click **Pick variable** (3) |
| 6 | **Quantity** now shows your variable (2). Click **Confirm** (3) |

![A new rule with Sum of marked 1 and its list open: Sum of, Minimum of, Maximum of, Average of, Median of, Formula and Specify, with Specify marked 2](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__04-rule-type__marked.png)

![Variable list with Crane Hire - Days typed in the search box marked 1, the ticked Crane Hire - Days row marked 2, and Pick variable marked 3](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__05-pick-variable__marked.png)

![Calculation for Crane Hire - Per Day: Unit d and Unit Type time marked 1, a Specify rule whose Quantity is Crane Hire - Days marked 2, and Confirm marked 3. The $1,000.00 rate is an example](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__06-specify-rule__marked.png)

The quote line is the number of days multiplied by the item's price.

### 4. Put it in a group with GST

A new calculation starts in **Ungrouped**. Click its **Group** (1) and choose the group it should appear under on your quotes, or click **+ New Group** (2) to make one.

![The Crane Hire - Per Day calculation in category Site with its Group, Ungrouped, marked 1 and the group list open, ending with + New Group marked 2](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__07-group__marked.png)

For a new group, type a **Group Name** (1), such as Site Hire, and click **Create** (2). Leave **Is second stage calculation group?** unticked, because a hire charge doesn't depend on other groups' totals.

![New group form under the Group cell: Is second stage calculation group? unticked, Group Name Site Hire marked 1 and Create marked 2](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__08-new-group__marked.png)

ShedMate then reminds you to add markups, taxes and discounts, because a new group starts with none.

![Message after creating a group: Group created, make sure to add Markups, Taxes and Discounts on the Groups tab, with an Okay button](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__09-group-created__marked.png)

Click **Okay**, then the **Groups** tab. On your group's row, set **Markup** (1) and **Taxes** (2), for example 0.1 for 10% GST.

![Groups tab: the Site Hire row with Markup 0 marked 1 and Taxes 0.1 marked 2, below groups such as Shed Materials and Delivery with their own markup and taxes](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__10-group-taxes__marked.png)

**Check the group's markup and GST.** A group with no tax adds no GST to the hire charge. In our test database, **Ungrouped** had no markup and no GST.

### 5. Save it

**Save Quoting** saves this job's quoting work. When the setup is ready to use on other jobs, choose **More**, then **Save Database**. Check which database and version you're saving before you continue. Existing quotes keep their database version until you load a newer one.

### How your salesperson adds hire to a quote

1. In the Shed Designer, click the price at the bottom right, then the **Variables** tab (1). Your hire variable is listed with the other public variables.
2. Click its value and type the number of days (2). The price goes up straight away (3).
3. Click **Save Quoting** (4).

![Quote panel on a test job: the Variables tab marked 1, Crane Hire - Days set to 2 marked 2, the price now $19,717.00 marked 3, and Save Quoting marked 4](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__11-quote-variables__marked.png)

The **Groups** tab (1) shows the hire charge in its group (2). On our test job, 2 days at an example rate of $1,000 a day, with 10% GST, added $2,200.

![Quote panel Groups tab marked 1, with Site Hire at 2,200.00 marked 2, among Shed Materials, Delivery, Council Fees, Engineering Fees and Erection](https://help.shedmate.com.au/hubfs/Shedmate%20Guides/Q-07__12-quote-groups__marked.png)

Before you use it on customer quotes, check the amount yourself: days × your rate, plus the group's markup and GST.
